Altering quotation layout

There are 3 levels where you can alter the print layout of documents –

 

1. Default settings (in customise)                 2. Customer types                3. Individual quotes

 

1. Default Settings

 

Go to Tools > Customise

Under the Documents category there are layout options for the printed documents.

 

Under Document Titles you can change the titles of all documents e.g. estimate instead of Quotation.

 

Under General Layout you can turn the company logo on or off. If ticked this will place an image at the top of the printed page rather than using the name and address you have set. To use your own logo you need to edit the userlogo.bmp file in C:\Program Files\Easyquote4. Keep the size set to 720 pixels wide by 124 pixels high.

 

In Quotation Layout and Acknowledgement Layout there are tick box options for combining sub-items, removing the product codes and customising fitting.

 

Use the Additional Layout Options button to turn on the signature line or add default notes to appear at the bottom of the documents.

 

With the Product Group Settings button (below) you can change how prices and discounts are shown on the printouts:

 

All Prices shows a price next to every product.

Sub-total shows one sub-total for a group of products.

Group Products shows a line reading “Total Furniture Cost” either priced or unpriced.

You can also change the order of printing with the Print Sequence button.

 

Ensure you click update_small Update to save and close each window.

 

2. Customer Types

 

As well as setting a default quote layout you can change settings for a particular customer type. Go to the customer screen, General tab and click the edit popup contents box for customer type.

 

Settings you change here override the default system wide settings. You can change document titles here and click Layout to change the notes or enable the signature line.

 

Remember these settings only apply to a customer with the current customer type. You can change each customer type. Customers with no type set will use the defaults as set in section 1.

 

3. Individual Quotes

 

The settings in 1 and 2 are defaults, but you can change these on individual quotes. Changing a setting here only changes for the one quote/order you are in.

 

From a quotation click the Print button, and then click Alter Layout. Put a tick in the Alter Default Quotation Layout box so you can make changes in this window.

 

Click Product Grouping to show the grid of product groups where you can change how the pricing and the discounts print out. You can also show/hide the product code. Click Change Quotation Product Grouping beneath it to edit the names of the groups for each product; these show as sub headings on the print out.

 

On the Fitting Options tab you can change the way fitting is displayed.

 

Click update_small Update to save changes and continue to print or view a print preview.
