Collection Notes

Any columns displaying a * in the column heading have right-click options.

Ensure you have expanded the screen so you can see all options. See Customise the screen.

 

The Collections tab lists all collections notes that have been created for all customers. By default they are listed in order reference order with the newest at the top.

Right-click Coll Ref

 

Right-click the collections reference number to access this menu:

 

Open

Open the collection note screen where you can edit the information

 

Notes

Record notes here relating to the collection. They appear in the Notes tab at the bottom of the screen. Ensure you have the expand options enabled.

 

Flag... >

Flags allow you to label an order for a particular reason (e.g. an order temporarily on hold) with the advantage that you can filter by flags. Hover your cursor over Flags and click Flag Setup to label the flags. Click Clear Flags to remove a flag from the selected order.

 

Print... >

Click to print the collection note itself or item labels for the product(s) on the collection note.

 

Progress Notes

Progress Notes provide an audit trail of what has happened to the order and the username responsible for the changes. Progress notes here are specific to the collection note and are different to the progress notes for the original order.

 

Book In Collection

Record the date and quantity here when the product(s) have been returned and are back in your possession.

When entering the quantity returned, enter a quantity in the Re-stock column to book these products back in to stock. If they do not have a corresponding stock record you will be prompted to create one automatically.

 

 

Right-click Name

 

This right-click menu is the same as right-clicking on a customer's name in the customer screen.

 

 

Right-click Original Order Ref

 

This right-click menu is the same across all quote/orders and is a shortcut to many options.

 

 

Batch Printing with a Filter

 

If you apply a filter to the projects screen you can work with the filtered list (i.e.the matching records) and do some batch commands on them. The commands you see vary depending on which tab you are on. For example (on sales orders) you can locate all orders requiring an acknowledgement and filter them all by date and print all acknowledgment

 

1.Select some criteria and apply a filter

2.Go to the Projects menu on the top menubar

3.Pick Sales Orders... and select a print command. Or you could flag a batch of orders or export it to Excel
