Whenever a quote or order ref is listed on screen you can right-click it to access the following menu. (Note that not all menu options will be available in EQ Foundation)
Opens the current quote/order for viewing and editing.
Notes
Add a free type note to a quote/sales order. These are stored in EQ (not printed on the quote) and are viewed in the same screen and the Notes tab at the bottom of the projects screen, providing you have the screen expanded (Projects is in EQ Professional)
When you are adding a note, right-click the box to add a date and time stamp at the start of your note.
New Contact
Will create a new contact history entry already linked to the existing quote/order ref.
New Email
Will create a new email message (with template options) already linked to the existing quote/order ref.
New Text (SMS)
Will create a new text message (with template options) already linked to the existing quote/order ref.
Accept a quote so it becomes a sales order. Opens the screen to input acceptance and fitting dates and payment stages.
The menu option reads Accept Quote from a quotation and Order Details from a sales order.
Print... >
Shortcut menu to all order-related printouts. Hover the cursor over to see a pop-out menu.
Create... >
These options are only available from a sales order not a quotation
Create Remedial
For additional work/products that the customer will not be charged for.
Create Addon
For additional work/products that are extra to the original order. The customer pays for these.
Create Collection Note
To produce the paperwork to collect a product from a customer's site (e.g. if faulty or alternative required)
Create Returns Note
To produce the paperwork to return a product to a supplier (e.g. if faulty or alternative required)
Generate Purchase Orders
Opens the screen to place all purchase orders/picking lists.
Organise your products into delivery notes and print the relevant note
Invoicing & Payments... >
Invoices & Payments Summary
An overview screen showing invoices and credits, payments and refunds with running total and balance.
Create an invoice for the whole order value. The invoice lists all the products.
Create an invoice that can be raised for any value. Enter the value. The invoice contents is free type text.
Create a credit note that can be raised for any value. The credit note contents is free type text.
Create a credit note that ties to product(s). The credit is built up like a quote so the contents is the product descriptions and values.
Opens the main payments window to record a new payment and see the current balance.
The costings screen shows you all cost and selling values and your profit. You can also edit values to make changes.
Flags... >
Flags allow you to mark an order for attention or to highlight it's status. Hover the cursor over to see a pop-out menu, Click Flag Setup to label your flags. You can filter on flags to quickly see orders at a particular stage.
Order Status
Set the status of an order. In this window you can define the status and attached colour and input a date and note about the status change. These are logged in the order's progress notes.
Within Projects > Sales Orders you can then create a filter by order status and/or the status dates.
Workflow Tasks
[Workflow is an additional module available to purchase for EQ Professional]
Opens the workflow view so you can see all the tasks relating to the currently selected sales order.
Milestones... >
Milestones refer to the check marks in the sales orders tab. Most are automatic, e.g. a X is placed in the Ordered column when all orders have been placed. You can setup additional milestones under Milestone Setup.
Progress Notes provide an audit trail of what has happened to the order and the username responsible for the changes. In addition to the order-specific notes tick the box to show the customer's contact history (e.g. appointments). When displayed these are shown in red.
There are 2 print options are available. Click Print on the top toolbar which will print a summary view (without notes) and a detailed view (includes notes in italics) after each other.

Commission Calculation
Access detailed commissions information for the current order. See Commission Profile setup.
Image Bank
Click to add and organise multiple images in the customer folder and attach one/all to an order. You can edit descriptions of the images and re-order them. These can then be used as a merge field in Word merge documents.
Production
Click to open the production panel list. Only available if you have the Production module. Please contact sales for more information about this.
Reset Order
Select to reset the sales order back to a quotation. You would need to do this to delete the order for example.
Export the order to a standalone EQQ file. This can be used to move an order from one EQ system to another. Note this export file is not used for emailing to customers as they will be unable to open it. Create a PDF instead.

You can export a complete quote or order to a CSV file (comma separated value) which can be opened like a normal spreadsheet, e.g. in Microsoft Excel. Save the order and right-click, select Utilities > Export Quotation/Order (CSV).
You can export; order ref, own ref, address (each line separately), home, mobile, work telephone numbers, forename, surname, order total, VAT amount, Nett total, key milestone dates, product code, description, colour, dimensions, quantity, estimated cost price and sell price.
By default the export is saved to your computer's C: drive but you can click the folder icon to change the location.
Since EQ version 14 you can export to a csv and pick which fields you need. This is more flexible for importing into other software packages. See the Export Orders topic. |
If an order has been deleted it will be temporarily stored for retrieval (like the Windows recycle bin). Access this menu from any order to see a list of recently deleted orders. Click on one to recover it to the original location. |
Lock Quotation/Order
Click to lock the order so no user can make further changes. This setting can be restricted to certain users by increasing the level of the security for "Quotation/Order (Lock/Unlock)".
