Add a Contract Site

Click the Contracts contracts-sites button on the top toolbar. The screen opens at a list of contract sites and their current status.

 

Click add Add to be presented with new blank details to complete. Click each tab in turn to ensure all of your settings are ready for the new site. (If you cannot change any settings ensure you have clicked edit Edit, then update_small Update to save.)

 

General Tab

Enter the site details:

Site title and contact

Site number can be a unique reference that you use to identify the site.

Pick the site type and status. To add entries into the drop down box click Edit Popup Contents edit popup and then add additional answers in here.

Site address, invoice address and builder may all be the same or could be different. The drop down boxes list the contents of your customer database. To create new entries click the Customer button on the toolbar and add Add the new contact details. Repeat as necessary.

 

Info Tab

The fields that show in info are used to store additional information against the site. These are useful to use in the contracts paperwork. E.g. Fitter, Project Manager, CAD details etc. You can set the fields in Tools > Customise > Contracts on the Info tab.

 

Groups Tab

Select the manufacturer that will be used in the quotation. You can set the default manufacturer and set some price groups in Tools > Customise > Contracts on the Groups tab. Note that any settings you change in customise do not back fill into this screen for an existing contract site; you won't see the changes until you make a new site.

 

Discounts Tab

This screen is vital to setting up your prices for each contract site. The figures here are used instead of any discounts you have set in the suppliers screen. Click add Add to insert a new row and select a manufacturer from the list.

 

There are both a Trade discount column and Retail discount column but you only need to use the one that is appropriate to the catalogue. Leave the other column blank.

 

Headings Tab

These headings are used for the contracts paperwork documents. You need to set the "questions" in Tools > Customise > Contracts and you can overwrite them in a per site basis. To add "questions" in, click the Edit Popup Contents edit popup button.

 

If you have altered these headings having worked with house types already you will need to update_small Update the site and click Update all house types to apply the new headings to all.

 

Margins Tab

This screen is used to enter a margin required on specific product groups. Your selling prices are calculated as your cost price plus this percentage margin. You can set the margins in Tools > Customise > Contracts. During the quoting stage you can edit these margins and click Apply New Margins which will update the current quotes. This is useful for making small adjustments to the figures.

 

If you do not wish to use margins specific to this site, you can tick the Use System (Retail) default Margins box which will use the margins set in the standard Suppliers screen of EQ. This option is not frequently used.

 

Enter a standard delivery charge (in £) in the box provided.

 

Products Tab

As an additional level of pricing you can set site specific special prices. This overrides the margin and sets an actual value for a product, e.g. for special offers or bulk buy situations.

 

Note, for your own special prices to be used from this screen you need to make sure that your supplier screen is priced to use "supplier margin" (or markup) and not "retail price". Being set on "retail price" will not allow a product override price to work. You should use supplier margin with the same discount and margin. See the help for the standard catalogue setup.

 

Click add Add to select a product from the catalogue database. When selected type a new cost price in the right-hand column, overwriting the calculated price.

 

Notes Tab

This can be used to record simple notes or messages during the life of the site. Right-click the notes space to insert a date and time stamp and then type in your notes.

 

Click Update to save your changes and your contract site is now created.

Contract Site Folder

 

As with customers and suppliers there is a folder for each contract site you create. This can be used to store files that are external to EQ, e.g. Word documents, letters, plan designs etc.

 

Click the main folder button to open the folder, which shows the contents in a standard Windows view. (The first time you click you will be prompted to create the folder).

 

Click the down_arrow drop down arrow to either:

Copy a file into the folder

Move a file into the folder

Make a shortcut to a file in the folder

 

A standard Open dialog box allows you to pick where a file is currently stored, then click OK to copy, move or make a shortcut.
