You will need to have a contract site with at least one house type created to create a master quotation.
Create Master Quotation
1.Open your contract site and click House Types.
2.Locate the house type in the list and click the General tab.
3.Click Create Quote and a new quotation is displayed.
Note that the own reference and 2nd reference are already completed with the house type and site name.
4.Confirm your manufacturer/furniture settings and click OK
5.Add products and populate your quote. Continue editing as normal. See the chapter on quotations for help adding products.
6.Save the quote, checking for any errors and warning prompts.
7.Close the quotation and you are returned to the contracts screen.
Now you have a master quotation the reference number is shown on the General tab of the house type and the button reads Open rather than Create. It also displays which revision of this quote is being used.
When the master quotation is finished and you are ready to create an order, proceed to Call-Offs.
Edit Master Quotation
You can return to the master quotation multiple times in order to make changes.
1.Open your Contract site and click House Types
2.Click the General tab.
3.Under Master Quotation the reference number will be shown.
4.Click Open and your quote is displayed. Click Edit to continue editing the quotation.
5.When ready click Save and check for the errors and warning prompts.
IMPORTANT If you quote with multi-group prices see below.
When the master quotation is finished and you are ready to create an order, proceed to Call-Offs.
As well as editing the quote directly you can adjust the site margins to make small adjustments.
1.Open your contract site
2.Click the Margins tab and click Edit
3.Make your adjustments on the margins.
4.Click Update
5.Click Apply New Margins to see all existing quotes and ensure the options are ticked to apply new margins.
6.Click Update and wait while the prices are recalculated. The window saves and closes.
If you are using multi-group prices so more than 1 range is calculated at a time you must MANUALLY update the quote prices after EACH edit you make on the master quotation. If you do not update, the prices for all other price groups will be wrong.
Note the following options will not be shown if you have the box "All quotes are shown using a single price range" ticked in Tools > Customise > Contracts. If they are not displayed you do not have to complete the steps below:
1.Edit the master quote as above and press Save. The price changes in the current range. 2.Close the order and you are returned to the contracts screen. 3.On the General tab of house types there is a list of the multi-group prices. 4.Click the button Calculate Multi-group Prices. 5.The screen lists up to 8 different ranges, their prices and any availability differences. Any availability issues are shown in red. Click on the red text to open a list of unavailable products to pick replacements. 6.Click the Recalculate All button and the totals will update immediately. 7.Click Update to save and close the window. All price groups are now updated. Repeat after each edit of the master quotation. |
When the master quotation is finished and you are ready to create an order, proceed to Call-Offs.
